Fax setup

Follow these steps to setup fax

  1. Verify that you have a Fax modem card and that it is installed correctly
    1. To do this look in the back of the computer to see if you have the jacks for a phone cord to plug into
    2. Verify the modem is installed correctly
    3. Access the Device Manager
      1. You should see a Modems category
        1. Double-click the Modems category
        2. If there is no X, !, or ? the driver is loaded properly
  2. Connect the phone line from the wall to the jack in back of the computer
    1. Most modems have two jacks
      1. Line jack (This one goes from the phone line to the modem)
      2. Phone jack (This one goes from the computer to a phone, so you can still use a phone when the modem is not using it)
        1. Make sure you have it plugged into the line jack
  3. Install the Fax Software
    1. Open the Run or Search window (will open in a separate window)
    2. Type appwiz.cpl
    3. Click OK
         
    1. Select Add/Remove Windows Components
      1. Check the box next to Fax Services
      2. Click Next to install the software
      3. You may be asked to provide the Windows XP CD
        1. If Welcome to Microsoft Windows window appears, click Exit
      4. When the installation is complete, click Finish

    1. Check to see if the Fax is installed
      1. Access Run or Search window
      2. Type control printers
      3. Click OK
           
      1. You should see a new printer labeled "Fax"
        1. Printing a file to this printer is how you'll send faxes
  4. Configure Fax settings
    1. Access Accessories
    2. Click Communications
    3. Click Fax
      1. Click Fax Console
        1. Set the settings accordingly
          1. Country/Region and Tone or Pulse dialing should be preconfigured for you
          2. Enter your area code
          3. Click OK
            5.    
        1. Phone and Modem Options window will appear
          1. Verify the location you just configured is highlighted
          2. Click OK
               
        1. The Fax Configuration Wizard will appear
          1. The following windows will appear
          2. First page
            1. Enter the personal information you want to include on your fax cover pages
          3. Second page
            1. Under the Please Select the Fax Device, make sure your modem is listed
            2. If it isn't selected, select it via the drop-down menu
            3. Verify the Enable Send option is checked
            4. If you want to be able to receive faxes, check Enable Receive
              1. The default setting on receive is automatically answer incoming calls
                1. If you are sharing the phone line with a phone, you do not want this enabled
                2. You will have to manually receive when you want to receive faxes and set the feature to Manual Answer
          4. Third page
            1. TSID (Transmitting Subscriber Identification)
              1. Appears along the top edge of every fax page you send (it usually consists of a name and fax number)
          5. Fourth page
            1. CSID (Subsriber Identification)
              1. A label that appears on fax machines that sends faxes to you
          6. Fifth page
            1. What happens to the incoming faxes
              1. Print the fax when it is received
                1. What printer is used to print the fax
                2. Store the fax and do not print it
          7. Sixth page
            1. Review and edit the settings
            2. When finished click Finish
  5. Send a Fax
    1. In the program that you want to send a fax
      1. Click File
      2. Click Print
      3. Select Fax
      4. Click Print
        1. The fax wizard will appear
          1. Follow the prompts
    2. By default WinXP will always dial a 1 when faxing outside your area code
      1. If you are required to dial a 1 and the area code for local calls, you will have to setup a dialing rule
        1. To do this
          1. Access Run or Search window
          2. Type telephon.cpl
          3. Click OK
          1. Click Edit
            6.    
          1. Click the Area Code Rules tab
          2. Click New
          3. Enter your area code
          4. Under rules, check the Dial box (a "1" should already be there for you) as well as the Include the Area Code box
          5. Click OK

  • Receive a Fax
    1. If you've configured WinXP to automatically answer incoming calls, you do not need to do anything
    2. If you have it set to manually answer you have to do the following
      1. When the bubble appears that you are receiving a call and you want the fax to answer, click the bubble
        1. If you are using an answering machine on your phone line, you have to make sure the computer picks up the line before the answering machine
          1. You can do this by setting the number of rings for the fax to be less than the number of rings for your answering machine.
